Asset Identification

By now, you should have identified all the assets in your facility using the various methods and technologies we have already discussed. All the assets should have been recorded comprehensively and accurately on a structured spreadsheet designed for the task.

Authorisation

It is critically important to obtain management approval and get this list authorised and signed off before updating the asset management system.

It is not advisable to load up the list to the Asset System until it is formally approved and authorised, as future adjustments could prove problematic with the database structure. Spend that little extra time and finish the job right the first time.

Asset Inventory Identification – Upload

Once authorised and signed off, the asset register can be uploaded to the CMMS. It is also good to remind ourselves of the benefits of getting our system set up correctly

• Reduce asset failures
• Save money through better control of our stock inventory
• Boost maintenance productivity
• Improve health, safety, and compliance
• Get maintenance done on time
• Extend the asset life

All of the above will result from a correctly set up and formatted CMMS.

Allowing an expert database technician to effect your upload will be advisable.

There is also an additional amount of information that can be added to complement the uploaded asset register immediately or on an ongoing basis.

Collect and Add Additional Information

• Safety Notes and Technical Specifications
• Images – Equipment and Drawings
• Nameplate Data, Service Contracts, and Costing Codes

Asset Inventory Summary

In these first few chapters on Asset Management, we have discussed Asset Inventory, which is the first area of our Asset Life Cycle.

As we progress through the remaining chapters of this topic, we will move the lifecycle wheel slowly around and discuss each of the other areas in detail, the following being Condition Assessment.
